Ending Period Poverty Donation

Thank you for supporting Ascot High School. Your donations — whether monetary, in-kind, or project-based — help improve facilities, learning materials, and student opportunities. Below are simple, practical steps and official requirements (including guidance for sending goods from overseas).

1. What kinds of donations we accept

We welcome:

  • Monetary gifts (cash, cheque, bank transfer)
  • In-kind gifts (books, computers, lab equipment, furniture, sports equipment)
  • Project or capital gifts (facility support, scholarships, classroom upgrades)
Please note: All donations must be accompanied by a letter that lists the item(s) donated, the estimated value, and the intended purpose of the donation. Additionally, all donations must be approved by the Principal before the donation is dispatched to its intended area or used. This ensures donations meet school needs and safety standards.

2. How to offer a donation (local donors)

  1. Send a written offer — Email or post a formal letter (on your letterhead if available) describing the donation and purpose. Include contact details and a suggested timeframe for delivery.
  2. Coordinate with the Principal’s Office — The Principal (or authorized designee) will review the donation to confirm need, suitability, and any follow-up requirements. The Principal’s approval is required before items are dispatched to the school or placed in a designated area.
  3. Deliver or courier — After approval, arrange delivery to the school. Please contact the school in advance to schedule deliveries so we can receive and properly store items.
  4. Receipt & acknowledgement — The school will issue an acknowledgement letter (or receipt) for monetary or in-kind donations for your records.

For donations delivered by a third party, please provide a written authorization from the donor authorizing that third party to deliver and sign for the donation.

3. Documentation to include with every donation

To ensure clear records and smooth acceptance, include the following with your donation:

  • The donor letter describing item(s), estimated value, and intended purpose
  • A packing list or invoice (for in-kind goods)
  • Contact information for the donor (name, phone, email, postal address)
  • Any warranty, manuals or maintenance instructions (for equipment)

4. How to send goods from outside Jamaica (overseas donors)

International shipments of donated goods for schools in Jamaica must follow Jamaica Customs and Ministry of Education guidelines. In particular, donated educational goods are generally required to be consigned via the National Education Trust (NET) to receive charitable import handling and applicable exemptions.

  1. Contact the school first — Email the Principal’s Office to confirm the school wants the items and to arrange how they will be received. Include the donation letter and an itemized list.
  2. Coordinate with NET — Notify NET of the intended donation and confirm consignment details.
  3. Prepare shipping documents — Include invoice, bill of lading/airway bill, packing list, certificate of origin, and donation declaration.
  4. Registration & certificates — Ensure the donor or beneficiary organization is registered with DCFS under the Charities Act.
  5. Use a customs broker for higher value shipments — Required for shipments exceeding certain CIF thresholds.
  6. Customs clearance & fees — Properly documented charitable donations receive exemptions for duty/GCT; some CAF fees may still apply.
  7. Delivery to the school — After customs clearance, goods are delivered to Ascot High School under the Principal’s supervision.
Important: Shipments must be consigned to NET with Ascot High School indicated. Notify both NET and the school of shipment details.

5. Acknowledgement and follow-up

Once the Principal approves and the gift is received, Ascot High School will provide a written acknowledgement/receipt describing the item(s) and date received. Donors may request a short report or photographs showing the donation in use.
